Benefits West, Inc. is a boutique Benefits Insurance Brokerage firm located in Lynnwood, Washington. Our focus is on large Self-Funded groups and we specialize in Tribal Governments and their Enterprises. In addition, we also own and manage our own office building with 12 tenants.

We are looking for an Office Manager/Administrative & Commercial Property Assistant; this is a multiple position role and we are looking for an energetic hard working personality to be our superstar. Central focus would be to support the President in the day-to-day operations of the companies and assisting your co-workers with any client needs. Some days may also include running personal errands for the President; this is on a rare occasion.

You must be organized, and our most desired qualifications would be strong computer skills and prior bookkeeping and/or small office experience.

Office Manager Responsibilities:

Handling incoming calls and other communications.
Greeting clients and visitors.
Helping organize and maintain office common areas.
Open and distribute mail.
Bank deposits.
Monthly billing reconciliation.
Agent/Agency licensing with carriers.
Calculate and maintain Commission on “Commission Tracker” software.
Coordinating events such as large multiple day conferences.
Update company website as needed.
Maintaining supply inventory and office equipment as needed.
Creating, maintaining, and entering information into databases.

Office Assistant Responsibilities:

Assisting co-workers in assembling client meeting packets.
Assist with compilation of proposals and assist with distribution of RFP’s
Downloading and filing daily vendor reports.

Commercial Property Assistant Responsibilities:

Lease management - Reviewing and preparing lease documents, updating leases before they expire, and showing available spaces to businesses seeking commercial space.

v Collecting monthly rent from tenants.

v Direct Maintenance Activities - Conducting maintenance and cleaning activities and working with third-party service providers to repair and maintain essential building systems like HVAC, plumbing, and electric.

v Market Commercial Spaces - Marketing available commercial spaces to potential clients. Listing available space to Craigslist and other online listings.

Maintain insurance records and requests from tenants.
Creating and maintaining building floor plans and leasing brochures and online listings.
Filing, copying and faxing as appropriate.

v Making sure building and grounds are tidy.

Required Skills:

4 years of experience supporting Executives.
Tech Savvy and proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Knowledge of accounting and bookkeeping principles.
Experience with QuickBooks accounting software.
Knowledge of Access.
Excellent organizational skills and attention to detail.
Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet deadlines.
Must be able to lift up to 25 pounds.
